What happens to your books each month

No dashboard for show. This is the work, in the order we do it.

Your first month also covers setup: connecting accounts, fixing what’s broken in your history and building a chart of accounts that fits your business.

03 Reconcile. Bank, card and loan balances tied to statements. Marketplace payouts split into sales, fees and refunds. Balances that match the bank.

Straight answers

What does it cost?
Most work is billed by the hour, at $20 to $40 an hour depending on the task. Catch-up and cleanup can be a fixed project price or billed hourly, whichever suits you. You get a written estimate after the first call, and nothing extra is billed without your approval.
Where is your team?
In the Philippines. We work with clients in the US by video call and email, and schedule calls in your time zone. We aim to reply within one business day.
Which software do you use?
QuickBooks Online and Xero, connected to tools like Gusto, Shopify, Amazon, TikTok Shop, Faire, KeHe Connect, Stripe, Wise and Bill.com. If you’re on something else, we’ll tell you honestly whether to switch.
We’re months behind. Is that a problem?
No. Catch-up work is a big part of what we do. We quote it as a fixed price or bill it hourly, your choice, then move you onto a monthly close.
Do you file taxes?
We don’t prepare or file income tax returns, because we aren’t a US CPA firm. We keep clean, tax-ready books, hand your CPA a year-end package, prepare and e-file your contractors’ 1099s through QuickBooks, and can introduce you to a CPA if you need one.
Who will I actually talk to?
The bookkeeper assigned to your account, and Jonathan. You’ll know their names and faces before you sign.
How do you access my accounts?
Wherever possible, you add us as an accountant user in QuickBooks Online or Xero, so you can remove our access at any time. If a system needs a shared login, only Jonathan holds it, and it’s shared through a password manager, never by email. Every login uses two-factor authentication, and we’re happy to sign an NDA before you share anything.
Is there a long contract?
No. Monthly bookkeeping is open-ended, with no fixed term: cancel any time with 30 days’ written notice. Catch-up projects end when your books are current. The details are in our Refund Policy.
